Film, Clip & Trailer Submission Information


The deadline for receiving all material listed below is 2 weeks before the start of the Festival. Please get in touch with us if this is a problem for you.

We work on PC. Generally speaking, it’s not neccessary to zip your files up at all. However if you do, please be aware that if you place a : or a / in the filename, we will not be able to open it on our Windows machines.

Please be aware of the naming structure given below for all files. For the main Film Screener file, simply the name of the film is all we need in the filename.


Below is an example of how we use the clips on the awards evening.

1 – Clips must be roughly 20 seconds long.

2 – We would like a different clip for each nomination you have. If you have 5 nominations and you send 1 clip that means on the night everyone will watch that same clip 5 times. To showcase your film best we would like to show different parts that are relevant to the category.

3 – When cutting the 20 second clips, please do not add your company name, film name, distributor name, selection laurel or any other information to the beginning, end or during the clip. We will edit this off as we need to make every clip the same. Ideally we would like the clip only, with no writing except subtitles where appropriate (see Point 4 below). This includes “For Consideration” or other such writing over the top of the film.

4 – We are an English speaking Festival. We host events around the world but they are all English speaking. If your film is not in English then please add English subtitles to the clips you send.

5 – We can deal with most video formats. We use a PC (Windows) and Adobe Premiere Pro. If we encounter a format we cannot use we will do our best to convert it. With this being said, please make it easier for us and send a format that is usable with our software.

6 – Please send us the highest definition possible. If we get a tiny file that looks average on a computer screen, imagine that blown up to an 8-foot screen. Don’t worry about file size, HD is best.

7 – Please name the file in the following way:

Festival Name – Category Name – Film Name – Nominee Name

We get so many clips sent to us from all over the world at all times during the year. When we have a file called “”, or something similar, it’s hard for us to distinguish which film it’s from or which Festival it’s for. Please make it easier for us.

8 – To get the clips to us you can use any of the following:

We can accept any links, the above is to help if you don’t already have an account elsewhere.

NOTE: We cannot accept any links from Aspera Connect. Unfortunately this service is incompatible with our systems and we can’t download any files from this service.


Please send us the film in it’s entirety via the same methods as you send the clips. Ideally we would like to play the film digitally. If you’d prefer to screen from a BluRay or DVD, we can accommodate any region. If you would like to post material to us, please send to:

Important Note – Customs Declaration:
When posting any material, please ensure all duty is paid from the sending side otherwise we won’t be able to sign for any packages at the office. Additionally, please be aware that if a return is requested, postage must be covered from the senders side.

To ensure there is no duty, when marking the postage forms, mark the commercial value as zero.

If you’re sending a digital file, ideally we would like a H.264 file which plays at around 15,000 kbps. Please ensure any file is under 20GB.

Please note, we don’t play uncompressed files.
We are unable to screen DCP format.

Regarding colourspace options, as we do not screen DCP so REC709 would be the correct option here.

Whichever method you choose, please ensure you get the film to us in plenty of time. The cut off is 2 weeks before the start of the Festival. This is because we need time to print the screening schedule in our official magazine and we must test every film well in advance of screenings.

If we don’t get your film by this cut off point, we will not be able to screen it and you won’t appear on the official schedule for the event.


We would like the highest definition version of your trailer sent by the same deadline as all of the above. This will be used to play in the lobby areas of the event during the week of the Festival where possible.

Please only send trailers under 10 minutes in length.
